Job Summary

Manage assigned institutional compliance functions to ensure university compliance with a variety of state and federal regulations, grant requirements, ethics guidelines, etc.


 

Responsibilities

Department Summary

This is a part-time position responsible for all aspects of non-benefit insurance and claims for the University as well as management of the campus Motor Vehicle Use program. Serves as the primary point of contact with internal and external constituencies on insurance and claims functions. Also serves as the liaison between the driver, department, and HR on motor vehicle reports (MVR) compliance. This position will also assist in the documentation of assets for insurance, follow-up on open purchase orders and supplier onboarding. Ensures that all activities follow the State of Georgia, Board of Regents, and Valdosta State University regulations/policies by staying current on updates.

 


Typical Allocation of Duties

Provide guidance - 20%
Conduct investigations, audits, and/or research to ensure compliance with applicable legal, regulatory, and/or accreditation-related guidelines.

Advocate - 20%
Advocate for the achievement and documentation of institutional best practices in compliance-related subject matter areas.

Develop policies and procedures - 20%
Assist in the development of institutional policies and procedures to ensure compliance with applicable rules, regulations, and guidelines.

Collaborate with others - 20%
Collaborate with subject matter experts and other stakeholders to help ensure institutional compliance.

Prepare reports - 20%
Prepare a variety of regular and special reports documenting university compliance.

 


Supervisor Expectations

  • Track "Report My Driving". These get reported to HR and individuals' Supervisors. Initiate training per SPD Fleet Policy. Track if driver has completed the refresher training or not and track offenses to monitor for excessive reports.
  • Assess vehicle accidents or property damage and file claims with DOAS to include photos, police reports, and other pertinent information (time sensitive).
  • Document, track, reconcile, and serve as a liaison with campus as well as external partners when there is a natural disaster claim to be filed.
  • Gather baseline data for the MVR process.
  • Maintain files and database of MVR reports (for employees who routinely drive), annual Driver Acknowledgement forms, notification and accident forms, and drivers training certificates.
  • Review MVR reports and work with HR to take appropriate action if driver is deemed disqualified based on USG policy criterion.
  • Maintain communication with supervisors and/or employees related to compliance requirements.
  • Verify the asset list received from the warehouse correctly aligns with the insured assets from DOAS.
  • Follow up with departments on the status of open Purchase Orders not fulfilled by the due date.
  • Provide supplier onboarding status updates to requestors.

Required Qualifications

Required Experience
A Bachelor's degree and five (5) years of relevant work experience, or a combination of nine (9) years of education and experience, with a minimum of an Associate's degree.

Proposed Salary

Commensurate with experience.
